Medical Office Manager

Looking for a position where you can make a difference? The Medical Office Manager is located out of our Tinley Park offices. This position is responsible for coordinating, scheduling, and ensuring follow-up for all medical services and appointments for individuals receiving residential services. This includes tracking and managing medical needs, creating communication systems, and working with healthcare teams to ensure all appointments, labs, and necessary procedures are completed on time. The position also involves supervising the Health Care Coordinator and ensuring compliance with medical guidelines.

Overview:

  • Work hours should coincide with Day Program operation hours which are typically Monday– Thursday, 8 AM – 5 PM, Friday 8 AM – 4 PM, but may be subject to change, per supervisor request
  • Be knowledgeable of and implement DHS guidelines regarding medical care to be provided to people who receive services
  • Supervise the Health Care Coordinator, including hiring, training, and mentoring
  • Work closely with Health Care Coordinator and Directors to schedule, confirm, and track medical appointments and follow-ups, assisting with running appointments as necessary
  • Notify staff of upcoming medical needs (appointments, labs, etc.) and track completion.
  • Communicate with multiple departments (including Transportation, Programing, Human Resources) and outside agencies and insurance companies
  • Ensure proper documentation is provided for medical appointments and update medical records in the appropriate software
  • Assisting RN Trainer with tracking initial and annual medication administration training
  • Assist with office tasks and communicate any office needs to the Director of Nursing
Requirements:
  • Bachelor's Degree in relevant field
  • Skilled in Microsoft Office (Excel, Word, Outlook,etc.), and/or other PC applications.
  • Preferred degree in logistics, scheduling, or related field
  • Strong organizational and communication skills
