Administrative Assistant

Our active and community-focused library is seeking a reliable and detail-oriented Part-Time Administrative Assistant to support our Finance Manager and Administration team. Responsibilities 

  • -Organizes, creates, maintains, and updates files in both physical and electronic format  

  • -After Board approval, maintains and updates library’s policy and procedure manuals  

  • -Creates and/or updates various financial spreadsheets 

  • -Provides administrative support for Freedom of Information Act (FOIA) requests, including using GovQA software 

  • -Maintains document requirements for the Local Records Act       

  • -Takes and prepares minutes at special meetings held by the Board of Library Trustees  

  • -Organizes/verifies vendor files, contracts, W-9s, and Certificates of Insurance 

  • -Serves on library committees as assigned 

  • -Performs other duties and tasks as assigned 

 

Requirements 

  • -Handles multiple tasks/projects and meet deadlines  

  • -Clearly communicates in person, on the telephone, and in writing  

  • -Works independently, as well as collaboratively with staff  

  • -Must exercise discretionmaintain confidentialityand handle sensitive records 

  • -Strong data reconciliation skills 

  • -Experience preferred in gathering and preparing documents in compliance with the Freedom of Information Act (FOIA) and/or the Local Records Act 

  • -Strong computer skills, including proficiency with Microsoft Office Suite (Word, Excel, and Outlook)  

  • -Ability to lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds  

  • -Valid driver’s license and ability to drive on library business using library owned or personal vehicle 

 

Qualifications 

  • -High school diploma or equivalent; college preferred  

  • -Five (5) or more years office experience  

  • -Available to work flexible hours/including evenings and weekends (as needed)

Schedule is - F 9:00 a.m. - 2:30 p.m. (27.5 hours per week) with a starting salary of $23.65 - $25.10 per hour.
